  1. What information do we collect?

We collect and process personal data about you when you interact with us and when you
purchase goods and services from us. The personal data we process includes personal data
relating to:

a) Administration of your ordering goods and services:

  • Your name
  • Your postal address
  • Your e-mail address
  • Your telephone number
  • Your mobile number
  • Your purchase order details
  • Your quotation requests & quotations prepared for you
  • Your requests for visits to site
  • Correspondence from yourself regarding our products/services
  • Contracts and other agreements between yourself and Aspect Window Styling

 b) For retail sales support of your account:

  • Records of meetings between yourself and Aspect Window Styling staff

c) For managing your account and processing payments:

  • Debit/credit card details

a) Administration of your account /ordering goods and services:

  • Preparing your quotations
  • Processing / delivering your orders
  • Contacting you regarding your orders and other account matters
  • Handling complaints regarding our goods and services

b) For retail sales support of your account:

  • Maintaining a record of when visits occurred and the general points discussed.
  • Monitor your account activity

c) For managing your account and processing payments:

  • To take payments from and make payments to you
  • To allocate payments on your account
  • Contacting third parties for trade references
  • To monitor correspondence between yourself and Aspect Window Styling
  • To seek credit reports from credit reference agencies
  • To carry our tracing activities on debtors
  • Taking legal action
  • Meeting requests from insolvency, liquidation companies
  • Meeting requests from government agencies

3. What is our lawful basis for using this data?

As part of our data protection policy, we review all personal data we intend to collect and
also personal data we actually hold to decide on our lawful basis for collecting, holding and
processing it. If no lawful basis exists for holding the data, we will not collect it. The following lawful bases will apply to personal data we hold on you:

a) To fulfill a contract with you: For example, if you make a purchase from us, you are
in effect requesting us to enter into an agreement to supply goods and/or services.
For us to fulfil our side of the contract, we need to hold and process certain personal
data e.g. contacting you about the order, delivering the goods to a certain address
etc

b) To comply with applicable law and regulation

c) We have a legitimate interest to hold/process the data: Personal data may be held
on the basis that there is a legitimate interest in doing so. When legitimate interest is used as a basis for holding your personal data, we will balance our own interest in processing it against your privacy interest. This will ensure that we never process information in a way that would be considered unreasonable and would likely cause you unjustified harm/distress.

d) Consent: Personal data may be held on the basis that we have your consent to do so.
For example for direct marketing on our Aspect Window Styling website. Where the lawful basis for holding/processing your data is consent, you will have the opportunity to easily
withdraw your consent at any point.

4. With whom may we share your personal data with?

Depending on the circumstances, personal data may be shared with any of the following

  • Companies used to manufacture products on our behalf
  • Companies used to service sample requests and distribute hard copy marketing
    material

Aspect Window Styling has an agreement in place with third party processors of your personal data to process your personal data in line with this Privacy Notice.

  1. How long do we keep your personal data?
    We will not keep your personal information for any purpose for longer than is necessary and
    will only retain the personal information that is necessary in relation to the purpose. We are
    also required to retain certain information as required by law or for as long as is reasonably
    necessary to meet regulatory requirements, resolve disputes, prevent fraud and abuse, or
    enforce our terms and conditions.

    The personal data that we collect from you will not be transferred to, and stored outside the
    European Economic Area (“EEA”).

 

  1. How do we protect your personal data?
    To protect your personal information, we use computer safeguards such as passwords and
    current versions of anti- virus software. We only authorise access to employees who need it to carry out their job responsibilities.

 

  1. What are my rights in relation to my personal data?
    You have the right to ask us not to process your personal data for marketing purposes. You
    can exercise your right to prevent, by contacting us or clicking the unsubscribe button on any communication we have sent to you.

Where you have consented to us using your personal data, you can withdraw that consent
at any time.

If the information we hold about you is inaccurate or incomplete, you can notify us and ask
us to correct or supplement it.

 

You also have the right, with some exceptions and qualifications, to ask us to provide a copy
of any personal data we hold about you.

If you have a complaint about how we have handled your personal data, you may be able to
ask us to restrict how we use your personal data while your complaint is resolved. In some
circumstances you can ask us to erase your personal data (a) by withdrawing your consent
for us to use it; (b) if it is no longer necessary for us to use your personal data; (c) if you
object to the use of your personal data and we don’t have a good reason to continue to use
it; or (d) if we haven’t handled your personal data in accordance with our obligations.
